Subject:-Quotations for purchase of shields/prizes/trophies for Prize Distribution Function of Youth Parliament Competitions.
The Ministry of Parliamentary Affairs has been conducting 4 competitions of various institutions under Youth Parliament Competition Scheme every year. Shields/prizes/trophies are awarded to the Prize winning students of the Universities/Schools by the Cabinet Ministers/Ministers of State, Members of Parliament and other dignitaries.
This Ministry invites sealed quotations for supply of Shields/Trophies/ Prizes to be awarded in the Prize Distribution Functions to be held in Delhi in the month of April, 2005. Details of the shields/prizes/trophies are given in the Annex. Sealed quotations for shield/prizes/trophies for Youth Parliament Competition may be sent to the undersigned i.e. Under Secretary (R&C), Room No.92, Parliament House, New Delhi latest by 1500 hrs. of 18th March, 2005. The rates may be given in the format given in the annex.
2. It may be noted that the quality as per specifications is required to be maintained. The job will be entrusted to the successful firms under the terms and conditions mentioned below: -
a) This Ministry shall, reserve the right to terminate the contract at any time without assigning any reason during the period of contract.
b) No extra payment, whatsoever, on account of natural calamities or otherwise will be made to the supplier except the rates permitted under this contract. It shall be responsibility of the supplier to make available shield/prizes/trophies in satisfactory condition in packed boxed (packing charges will be paid separately) at the venue of the Prize Distribution Function before 9.00 a.m. of the day of the function (The date of the function will be intimated 15 days in advance).
c) The supplier shall be responsible to repair/replace the damaged pieces of prizes etc. without any extra cost.
d) If the work of the supplier is found unsatisfactory or if the supplier dishonours the contract or if there is a delay in delivery of items, the job will be entrusted to any other firm/party at the risk/expenses of the defaulting supplier.
e) Payment for the work done and services rendered will be made to the supplier within 30 days of the date of receipt of the Bill.
f) The complaints, if any, should be attended to the venue of Prize Distribution Function.
3. Please ensure to make a specific mention in your quotation to the effect that the terms and conditions mentioned above are acceptable to your firm in full.
4. Interested supplier are required to prove their competence for undertaking the job in question and also furnish their standing and goodwill through a certificate from their earlier client of repute organizations mentioning name, designation and telephone No. of the officer of the Department .
5. If any other clarifications is required in the matter (i.e. for seeing the samples of the prizes etc.) the undersigned may be contacted between 2.00 p.m. to 4.00 pm on any working day. (Saturday & Sunday being holidays)
6. The supplier will be responsible to supply the items on the rates given in their quotation, till December, 2005.
